Work Schedules and Shifts

One, two, or three shifts, office, flexible, remote, and hybrid work: how to set them up, who works which schedule, and how exceptions apply.

A schedule answers the question "when was a person supposed to work?". Lateness, red days in the timesheet, and overtime are calculated based on it.

Where to find it

HR & Team → Attendance & Time Logs (…/hr/attendance) → "Schedules" tab. Available to owners and administrators, as well as roles with "Schedules" permission.

Before schedules are set up

Nothing changes: lateness is calculated based on standard working hours set in the "Team" tab (start time, grace period, duration, Mon-Fri). Schedules can be introduced gradually.

1. Time Zone

At the top of the tab is the facility's time zone. All times are calculated within it.

2. Shifts

A shift consists of a code (e.g., "I", "II", "N"), a name, start and end times, a break, and a lateness grace period. If the end time is earlier than the start time (22:00–06:00), it's a night shift: it belongs to the day it started.

3. Schedule Templates

| Type | Purpose | |---|---| | Weekly | Office or permanent shift. For each day of the week – a shift or a day off. | | Rotation | A cycle of N days: 2 or 3 shifts, 4 on/4 off, 12-hour shifts. | | Flexible | Mandatory hours (e.g., 10:00–14:00) plus a daily hour norm. Lateness is only counted from the start of mandatory hours. | | Individual | No template: days and hours are set manually for the person. |

For each working day in a template, you can choose "On-site" or "Remote". This allows setting up a hybrid schedule, for example, Mon and Wed in the office, the rest remote.

Mark one template as "default": it applies to everyone who hasn't been assigned another.

4. Who works which schedule

The "Who works which schedule" section: person, template, start date (and end date, if needed). For rotations, there's a team offset in days. Three teams on a 3-shift schedule would use one template assigned with offsets of 0, 2, and 4 days (depending on the cycle).

5. Daily Exceptions

In "Employee Schedule", select a person: the system will show 4 weeks as it calculates them. Click on a day to create an exception: a different shift, different hours, a day off, or "remote" for that specific day. Days with exceptions are outlined.

What takes priority

Daily exception → assigned schedule → default schedule → standard working hours. Holidays (from HR settings) override a template's working day, but an exception can make it a working day.

Production Planning

Once schedules are set up, planning assigns only qualified employees to an operation if the operation fits entirely within their shift and they are not absent. If no one with the required qualification is on shift during the planned machine time, the operation remains unplanned with the reason "no qualified employee." If schedules are not set up, planning works as before, considering only absences.
